We feel the holds (materials reserved by patrons) should be kept at the circulation desk on higher shelving so we don't have to bend down to get them. (Pat)

What should we do with items we withdraw during the closure period? Suggestions: put them outside for people to take; put them up at the Rec Center for people to take; put them up at the Complex inside the front door; throw some in the dumpster and selectively give away some by one of the aforementioned methods. Carmela noted that a patron suggested we put black paper over the door and a big sign saying we're closed so that people can't see what's going on and potentially disturb the very busy bees inside. Edie says put up newspapers; save our good black paper for other uses. I LIKE THE IDEA OF NEWSPAPERS. WHAT ABOUT THE FUNNY PAGES?
We hope that we'll be able to have enough time to test-run things, especially computers, before we open the new doors at the new place. Splash of the day was not so much coffee as a security question concerning a rear emergency door -- east side of the new library near the cafeteria which now exits onto a patio. Will this area be secured somehow to prevent anyone from stealing materials and children from falling into the pond? Will the door be equipped with break-away locks to be used only in emergency? Will there be fencing so people can use the area? How will it be secured so that people cannot steal stuff or otherwise get into trouble?
The rear door on the east side of the new library that exits from the cafe will be equipped with a panic bar and set off an alarm if opened when the alarm is on. The double doors leading from the adult fiction area to the space under the overhang from the second floor will remain unlocked during fair weather. The space under the overhang will be fenced. People with thievery in mind will probably not be deterred. Others will accept that materials must remain within the boundaries set.

Will we be able to check out items at our individual desks? This would require receipt printers, and Carmela pointed out that her computer is not compatible with a receipt printer. To add to that question -- will staff be getting better computers to enable check outs?
Checkout of materials will take place at circulation, reference, AV and in the children's department. We will purchase another receipt printer. We will be purchasing new computers.

Carmela is notifying her regular ILL patrons, but somehow other people should be notifed, and perhaps this would be a website task, to specify Powell or Meeteetse as a pickup destination when they place holds via computer at home. Who should be in charge of this? How should we do this?

How long will computers be down? We will still need to communicate with the “outside world”, like schools.
THE COMPUTERS WILL ONLY BE DOWN FOR AS LONG AS IT TAKES TO MOVE THEM FROM THEIR PRESENT LOCATIONS TO THE NEW LIBRARY AND BE SET UP AND TURNED ON.
When and how do we plan to tell the public that the Cody library is going to be closed for a *long time*?
WE WILL BE FINALIZING THIS AT THE NEXT BOARD MEETING THIS COMING THURSDAY. MY TARGET DATE FOR CLOSURE IS AUGUST 15 FOR SERVICES WITH A FAREWELL TO THE LIBRARY EVENT ON SATURDAY THE 16TH.

Carmela & Edie met at Beta this morning (Wed.) and discussed security concerns. We realize that it may not yet be obvious how to solve these until we're situated in the new location, however we have come concerns:
- Such a big area may be difficult to clear before closing time. PLEASE CONSIDER HOW THIS SHOULD BE HANDLED. IT SEEMS THAT SEVERAL PEOPLE COULD WALK THROUGH THE LIBRARY SHORTLY BEFORE CLOSING AND THEN IMMEDIATELY AFTER CLOSING TO MAKE SURE ALL AREAS ARE EMPTY. AT THE HISTORICAL CENTER, WHICH IS VERY LARGE, ONE FLOOR GUARD IS ASSIGNED TO EACH GALLERY AT CLOSING. THERE WAS NEVER A PROBLEM GETTING PEOPLE OUT. SEE REPLY BELOW CONCERNING THE CLEANING CREW.
- Will there be gates on closed sections during after-hours programs?

Meeting Minutes - 4/16/2008 -- Frances' Responses below in CAPS
A question was raised about signage in the new library? Has signage been planned for the interior spaces? If not, we need to brainstorm about what is needed, for example: Children's Department, Restrooms, Circulation Desk, Book Return, Young Adult/Teen Room, etc. THE DESIGNER HAS BEEN WORKING ON THE SIGNAGE. PLEASE ASK TO SEE WHAT HE HAS COME UP WITH I HAVE THAT INFORMATION IN MY OFFICE.
Patrons are asking questions about the new library. Their questions are as important as ours and need to be addressed in some forum, perhaps a one sheet pamphlet we can direct them to for information. Among the questions we've heard are: 1) Will we have more/new books? The committee's response is that while our book budget is not increasing, we will be able to add good donated materials because we will have more room. 2) Will more staff be hired? As far as we know, added positions include 2 part-time staff people and people to staff the cafe. If you hear our patrons voicing concerns, please pass them along to either Carmela, Edie or Joanne so we can address them in the transition committee meetings. THE RESPONSES GIVEN ARE CORRECT. PLEASE CONSIDER PUTTING TOGETHER A SURVEY TO ASK FOR FEEDBACK FROM OUR PATRONS
The committee raised the question about a part-time YA librarian to staff the YA section. Advantageous times to staff that area are 2-5:30 p.m., 2-8 p.m. on the nights we are open late, and on Saturdays from 10-4. THIS IS NOT YET IN THE BUDGET. I AM TAKING A WAIT-AND-SEE APPROACH AT THE MOMENT. THERE HAS BEEN DISCUSSION WITH NWC LIBRARIAN SUSAN RICHARDS ABOUT HAVING A SHARED POSITION IN THE LIBRARY. THIS PERSON WOULD BE A YOUTH AND STUDENT SERVICES LIBRARIAN. WE ARE ONLY AT THE THINKING STAGES.
The library's responsibility for the cafe was discussed. The county already leases space to outside entities (NWC, UW, other businesses) why is the cafe in the library any different? We know Frances' is working on this - we just wanted to let her know we support her efforts. THERE IS A CONCERN THAT IF AN OUTSIDE BUSINESS WERE TO BE CONTRACTED TO RUN THE CAFE THERE WOULD NOT BE THE FLEXIBILITY NWC NEEDS TO HAVE IN TERMS OF SCHEDULING CLASSES THAT WOULD MAKE USE OF THE KITCHEN
Concern was raised about the location for discharging books and the Tech Department's responsibility to discharge the books. This seems an added workload to a department that is already very busy. IT IS NOT MY PLAN FOR TECH STAFF TO HANDLE DISCHARGING OF BOOKS AND OTHER RETURNED MATERIALS. RATHER, THAT WOULD BE THE RESPONSIBILITY OF CIRCULATION STAFF (WE SHOULD PLAN TO TRAIN NEW HIRES IN DISCHARGING, CATCHING HOLDS, RETURNING ILLs, ETC.)
(Frances did acknowledge this before, but I'm not sure how only two more part-time people are going to cover the front desk, YA area and discharge and shelve too. I guess my concern is that maybe two more part-time employees may not be enough. But I'm sure we'll have a better idea as things unfold in the new library. -- Edie) AS EDIE NOTES, WE MAY NOT HAVE ENOUGH STAFF, BUT UNTIL WE ARE IN THE NEW LIBRARY AND HAVE HAD A CHANCE TO EXPERIENCE THE FLOW OF WORK WE WILL NOT KNOW. No matter how well-planned and organized the move is, it will still be a chaotic time. For that reason Cody should NOT serve as the drop off point for books going between Powell and Meeteetse. We realize this may be a little inconvenient, but no matter how well we plan, moves are inconvenient - it's the nature of the beast. But the good thing is that it is not forever!
I CANNOT ARGUE WITH THIS CONCERN. LET'S PLAN TO DISCUSS THIS AT THE COUNTYWIDE MEETING NEXT WEEK
If there is time to weed before the move, we thought it best not to move until weeding and withdrawing are completed. A two week period after we close and before we move to weed and then withdraw would be beneficial. Then Tech can be moved after the weeded collections are withdrawn.

How will the discharging be handled at the new library? I understand that the books will be returned to the tech services area. Will there be additional people employed to do discharging? Or will the tech services department employees be responsible for this? I have noticed that at the front desk currently, discharging is about all you get accomplished. I would really like to see someone other than a current tech employee take time to do this. Also, will new scanning equipment be set up at the discharge place? I would foresee a need for that, rather than dragging items over to our work stations. -- Edie (AT PRESENT I AM ASKING FOR TWO NEW PART-TIME POSITIONS FOR THE NEW LIBRARY. How many computers are there going to be? I overheard something about software to time out usage. But are we going to keep restricting people to one-time usage during a day? What is the new official address? How do we go about notifying change of addresses. Who do we need to tell? Need to develop a good way to tell people how to get there. Maps? List of other internet email places should be posted on the door while we're closed and maybe afterward? (I HAVE ASKED THE CITY OF CODY TO INVESTIGATE ASSIGNING A DESIGNATED ADDRESS FOR THE NEW LIBRARY. LONNIE KELSEY WHO WAS IN CHARGE OF THIS AREA RECENTLY DIED AND HIS SUCCESSOR IS STILL GETTING UP TO SPEED ON THE JOB. ONCE WE KNOW WHAT THAT ADDRESS IS, IT WILL BE ANNOUNCED. THE SUGGESTION TO POST A LIST OF OTHER PLACES WHERE PEOPLE CAN GO TO ACCESS EMAIL IS A GOOD ONE. LET'S PLAN TO DO THAT. THE SUGGESTION OF A MAP IS ALSO A GOOD ONE. THAT SHOULD NOT BE HARD TO ACCOMPLISH. THE CURRENT CODY MAP CAN BE ANNOTATED AND THEN COPIED WITH THOSE COPIES DISTRIBUTED AROUND TOWN, AT THE CHAMBER, THE BANKS, SCHOOLS, BBHC, AND SO ON.

Frances may have already passed this thought on to your committee, but just in case--Jo Norlin had an idea I thought was a good one. We think we could find room in Powell during the Big Move to house and keep circulating all of Cody's DVDs and CD books. It might help with moving logistics, and it would keep those items circulating, hopefully to Cody patrons as well if they make their way over to Powell. We don't think we could find room for other materials, but we're hoping this might help a little. Janet

Jo and I don't think this would have to be too troublesome. They would need locations changed, but we could even do that in Powell, if necessary. The biggest thing would be packing and transporting them here and then home again. It would be easy to divide them up when Cody is ready to have them back, because we could go by the package dots and send home the packages that belong in Cody.
Our reasoning on this is: We're assuming our library will be impacted by Cody people coming over to use us while yours is closed--it would be nice to offer them a bigger selection. Also, this option would keep those items in circulation and possibly lead to fewer losses in the long run than doing away with limits and using very long check-out periods.
We're glad to do whatever to minimize the trouble.
Joanne and Edie -- We think this is a reasonable solution and offers patrons a chance to keep checking these items out. We would just like to have them back well in advance of the opening Oct. 4. The troublesome part may involve how long we'll actually be closed.
Lynn will investigate how many items we're talking about.
TRANSPORTING BOOKS FROM MEETEETSE TO POWELL, AND VICE VERSA
Well, it occurs to me that the business of transporting books may be a little more complicated. Will there be some kind of designated drop-off place for couriers? I don’t think driving from Meeteetse to Powell (or vice versa) and back on a regular basis is really a great solution. Should we mail everything? That could get expensive. . . .That’s all I’ve thought of so far. Laura.
